Send a Scheduled Campaign
Build a one-time broadcast — a newsletter, announcement, or release note — by defining an audience, designing one email, and scheduling a single send to everyone at once.
GTM Engine has two kinds of campaigns:
- Live campaigns are per-contact triggered sequences. Each contact you enroll runs the multi-step sequence on their own timeline.
- Scheduled campaigns are one-time broadcasts — newsletters, product announcements, release notes — where you define an audience and one send time, and everyone receives the same single email at once.

Where to Find It
Open Campaigns (/generate/outreach) and use the Live / Scheduled switcher at the top of the list to view scheduled campaigns. Click New scheduled campaign to start one.
How It Works
- You define one or more audiences.
- You design one email (subject + body).
- You send now or schedule a single send for later.
- At send time, the audience is resolved, every recipient is enrolled, and the email goes out to all of them (paced by your inbox limits and send windows).
1. Define the Audience
Add one or more audiences. Each audience is a contacts filter — built with the same query builder as the Records → Contacts page. Describe the audience in plain language and Genie turns it into filter rules, or add rules by hand (e.g. Job title contains "VP"). You'll see a live count and a sample of the matching contacts right in the audience, so you can sanity-check it before sending. Filter audiences are re-resolved at send time, so a campaign you schedule for next week automatically includes any newly matching contacts added or updated in the meantime.
Save and reuse audiences: once you've built a filter, click Save as audience to store it as a reusable contacts view. Use Load saved audience to drop a saved filter into any campaign — the same audience can power many campaigns.
A live recipient count updates as you edit. Contacts without an email address are dropped automatically, and a duplicate contact appearing in multiple audiences is only sent to once.
2. Design the Email
Author a single email — subject line and body — in the unified email builder, the same designer used for email steps in live campaigns. It has a Design & preview tab (live rendered preview) and a Raw HTML tab, and the email Genie drafts or rewrites the email from your plain-English feedback.
The builder handles everything from a plain-text note to a fully designed HTML email, with two insert actions in the toolbar:
- Insert variable — drop in merge variables like
{{ contact.first_name }},{{ account.name }}, or{{ user.first_name }}. These render per recipient; the rest of the body is sent exactly as written. - Insert AI section — drop an
{{ai_generate}}marker wherever you want AI to write the copy. A single step-level AI instruction field appears and drives every AI section, grounded with each recipient's contact/account data.
How those choices send:
- No AI markers — the email is sent verbatim per recipient (only variables are filled in).
- One
{{ai_generate}}marker alone — AI writes the entire email body for each recipient from your instruction. - AI markers mixed with your copy — your hard-coded text and variables send verbatim while only the marked portions are AI-written.
Open & link-click tracking
Two toggles in the builder let you measure engagement:
- Track opens — embeds an invisible pixel so the email's open is recorded.
- Track link clicks — routes each link through a redirect that records the click and then forwards the recipient to the original page.
Both are applied automatically at send time, so you don't add tracking pixels or modify links yourself. Every open and click is logged on the contact's timeline (so you can see who engaged), click tracking captures which link was clicked, and the campaign's analytics roll this up into unique and total opens/clicks plus a top-clicked-links breakdown.
For broadcasts (this guide) both default on. Live cold-outbound campaigns are different: Track opens defaults off there, because open-tracking pixels can hurt cold-email deliverability — you can still turn it on, and the builder will warn you. Track link clicks stays on by default everywhere.
3. Schedule & Send
Choose how it goes out:
- Send now — the broadcast is dispatched immediately.
- Schedule for later — pick a date and time (timezone-aware) for a single future send.
When the send fires, GTM Engine resolves the audience, enrolls everyone, and sends the email, respecting your mailbox send limits and windows. Scheduled campaigns reuse the same native delivery, tracking, and opt-out handling as live campaigns — anyone who already unsubscribed won't be re-emailed.
After Sending
The campaign shows a Sent · N recipients summary, and you can track delivery, opens, clicks, replies, bounces, and unsubscribes the same way as any native campaign. (See Buy & Warm Sending Domains for how native sending, replies/bounces, and unsubscribe links work.)
